We’re happy to welcome you to WorkGenius. It’s a comprehensive tool that can help you recruit, manage, and pay freelancers, all through a single platform. Find helpful tips here to get started right away.
1. Onboarding
Once you sign a contract with WorkGenius, we’ll put an onboarding meeting on your calendar. You’ll meet your Account Manager and Customer Success Manager who will take you through the powerful software at your disposal, answer any questions you have, and offer you the guidance you need.

Our aim is to make the process of finding and hiring freelancers as easy and seamless as possible. That’s why our focus is on getting to know you and your needs, figuring out which solutions work best for you, and helping you make the most out of our powerful software.
2. Account Set-up
After the onboarding meeting, all designated users will get an invitation by email. Only the designated head of an organization can activate their WorkGenius account, but other users can be added to the account with different levels of access. Click here for for more information.
To validate an account, the owner of the organization is required to confirm specific company details such as billing address or VAT ID. More information about this can be found here.
We also strongly recommend that you upload your company logo and make it visible on your profile. Displaying a company logo can help you build a more robust emotional relationship with freelancers, while boosting your brand identity. In addition, projects that display a company logo are accepted 38% faster than those without.
3. Invite Users / limit on number of users
Once the owner of the account confirms the requested data, additional users can be added.
Company owners and administrators of an organization are the only people who can do this. To invite a user, go to the company settings, under "Members", and add the email address for the user you’d like to invite.
The number of accounts you're entitled to invite depends on the package you signed up for–see your contract for more details. If you need more user licenses, please contact your account manager.
4. Your first project or booking
As soon as you’re ready to kick off your first “job”, contact your Customer Success Manager. They’ll provide the support you need, as well as advise you on the best options for your project.
Projects are jobs that are based on a clearly defined outcome. It usually starts with you creating a briefing or statement of work, with a set of clear tasks and success criteria. Your Genius completes that work within the agreed time and budget, with little or no communication needed.
Bookings, on the other hand, are longer-term engagements which involve more complex tasks. For bookings, qualified candidates apply to your job post, and you pick the best freelancer for the job. During a booking, it’s likely that you'll need to remain in active contact with your Genius.

5. Payments + Invoices
WorkGenius bills you according to the budget you agreed to pay in advance. Alternatively, you can choose to have us generate invoices for any remuneration you may have already paid to a freelancer. Invoices will always be sent to your billing email address.
You can find your available credits, invoices, and cost centers in your profile, under "Finances", or in your selected Cost Center.
We also offer a tailor-made solution to better manage your company expenditures via ‘cost centers’, which allow you to allocate and assign budgets between projects or teams. Learn more here.
